A student hears about an assignment at the end of class. Before recording it, the student has to make a small decision: open the new task app, write it in Notes, send a text to themselves, or trust memory until later. This decision happens again every time a deadline changes or another responsibility appears.

A task app therefore does not compete only against other productivity software. It competes against Notes, Calendar, Messages, paper, memory, and every other place the student already checks without thinking. Even a well-designed app can lose this competition simply because it sits outside the routine.

People use a small weekly set of apps

A four-year analysis of app launches on 162,006 iPhones and iPads found that more than 90% of the observed iPhone users launched roughly 14 to 18 different apps during a week. This was not the number of apps installed on each phone. It was the much smaller group that appeared in regular weekly use.

The study used data from 2012 to 2016 and relied on jailbroken devices, so its numbers should not be treated as a current census of all iPhone owners. It also did not focus on task apps. However, the basic pattern is still relevant to product design: having access to thousands of apps does not mean a person will build thousands of apps into a routine.

Checking the same places becomes a habit

Researchers studying smartphone behavior described a “checking habit,” meaning brief and repeated inspections of information that is easy to reach on the device. Through logging, diary, and field studies, they found that these checks could become connected to familiar situations and reinforced by information that appeared quickly.

This research does not mean that every phone interaction is automatic, and it certainly does not justify designing a product to create compulsive use. Rather, it explains why familiar destinations have an advantage. Returning to a place that is already checked throughout the day requires less remembering than adopting an entirely new destination.

A productivity system that first requires someone to remember to open the productivity system has created another task before the real assignment can even be recorded.

Effort includes learning and returning

In a qualitative study of 19 university students and staff, participants explained what might make them continue or stop using health-behavior apps. They liked the ideas of tracking and feedback, but found detailed entry burdensome, expected that they might forget to continue tracking, and viewed apps as easy to download and just as easy to remove. The researchers identified required effort and emotional response as possible reasons for discontinued use.

This was a small health-app study, not a study of student task managers. Its description of effort is still useful because effort involves more than the number of taps on a screen. A user may have to create an account, learn where information belongs, translate a thought into several fields, check another dashboard, and rebuild the habit after missing a few days.

A 2024 scoping review examined 18 real-world studies of lifestyle and mental-health apps. Among the studies that could be compared, the median abandonment rate was about 70% within the first 100 days. The reported reasons included poor user experience, time costs, privacy concerns, technical problems, and changing needs.

The 70% figure is not a benchmark for productivity apps. The review covered health apps, used different definitions of abandonment, and included evidence that the authors described as methodologically diverse. Still, both pieces of research challenge the idea that getting someone to download a product means they will continue using it.

iMessage removes one new habit

Apple describes iMessage as a service for sending and receiving texts in the Messages app across configured Apple devices. For a person who already uses iMessage, a direct conversation does not need to earn another icon a place in the weekly rotation. The user opens Messages as usual, writes the request, and returns to the same conversation when the plan changes.

This reasoning led to TextTodo. A student can write “add the lab report for Friday” without opening a task dashboard. The next message can correct the date, add a reminder, mark the task done, or ask what is due next.

Messages is not universal. TextTodo requires an iPhone and direct iMessage, and it does not support SMS, Android, or group chats. For the people who meet those requirements, however, the task is placed inside an interface they already understand instead of behind another system they have to remember.

Familiarity can also make a bad product more annoying

Moving a task assistant into Messages does not automatically make it useful. If anything, irrelevant reminders become more frustrating when they invade a personal conversation. A message-based product therefore has to be predictable and restrained.

A request such as “remind me Monday at 8” should not have to be translated into a form, and a correction such as “actually, make that 9” should not require rebuilding the task. At the same time, access to a familiar notification channel is not permission to chase engagement. TextTodo has to keep its limits visible: it is not an emergency alarm, an LMS, a team workspace, or a visual project dashboard.

What the research does not prove

None of these studies evaluated TextTodo. None compared an iMessage task assistant with a conventional task app, and none proved that delivering a reminder in Messages causes more tasks to be completed. The research also does not justify saying that everybody uses Messages.

The evidence supports a more limited argument. People build repeated patterns around a small set of apps, the effort required to maintain a tool can affect continued use, and downloading an app does not guarantee that it becomes part of a routine. Building inside a familiar interface is a response to those findings, not proof that the response will work for everyone.

The product still has to survive after the first week

A detailed dashboard may be the best system for someone who already enjoys maintaining one. For an iPhone user who repeatedly returns to Notes or Messages, forcing another dashboard into the routine may create more work than it removes.

TextTodo takes a narrower approach. The obligation may be new, but the place used to record it is already familiar. Research cannot guarantee that this choice will create a lasting habit, but it explains why removing one unfamiliar step is worth trying.
